Integrated Driver Solutions and Integrated Operator Solutions are operated by Rick Rossiter, a sole trader based in Western Australia. In this policy "we", "us" and "our" mean that business. This policy explains what personal information we collect through this website and our training and VOC apps, why, and how we look after it.
We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). As a small business we may not be legally bound by all of them, but we choose to comply with them.
What we collect
| Information | Whose | Why |
|---|---|---|
| Name, email address, role and fleet or site | People with an account (managers, trainers, assessors, compliance staff) | To sign you in and show only the records your role allows |
| Name, employee number, licence class and licence or ticket details | Drivers and operators being trained or assessed | To identify the person on their training and VOC records |
| Training and VOC records: ratings, remarks, root cause codes, priorities, corrective actions, signatures, dates and results | Drivers, operators and their assessors | To record competency, track corrective actions and produce compliance reports for the employer |
| Details you type into the enquiry form | People contacting us | To reply to your enquiry |
| Technical information (IP address, browser type, pages visited) | Website and app visitors | To keep the service secure and working |
We do not ask for health information, tax file numbers, bank details or payment card details. Please do not enter medical details in remarks or notes.
How we collect it
- From your employer or client organisation when they set up accounts and add drivers or operators.
- From trainers and assessors when they complete training and VOC records.
- From you when you sign in, contact us or use the enquiry form.
If your employer gave us your details, they are responsible for telling you that they use our apps to keep your training records.
How we use it
- To provide the Driver Training, Operator Training and Compliance Dashboard services to your employer or client organisation.
- To keep training, VOC and corrective action records as evidence of competency, including for Chain of Responsibility, work health and safety and heavy vehicle accreditation purposes.
- To answer enquiries and support users.
- To protect the service, for example limiting repeated failed sign-in attempts.
We do not sell personal information, use it for advertising or share it with marketers.
Who can see it
- Your organisation: records are visible only to accounts in the same client organisation, according to their role. One organisation cannot see another's records.
- Us: to provide support, fix problems and run the service.
- Service providers: Supabase (database and app server, hosted in Sydney, Australia), Cloudflare (website hosting, security and email forwarding) and Microsoft Outlook (our email inbox). They process information on our behalf to run the service.
- Where the law requires it: for example a valid request from a regulator or court.
Training and VOC records are stored in Australia. Cloudflare and Microsoft may process website traffic and email outside Australia as part of their global networks.
Enquiry form
The enquiry form does not store anything on our website. When you press send, it opens your own email app with your answers filled in, and nothing is sent until you send that email. We keep enquiry emails in our inbox so we can reply and follow up.
Cookies, storage and analytics
- When you sign in, a sign-in token is kept in your browser's storage and in a sign-in cookie, so you stay signed in and only signed-in users can open the training apps. It expires after 14 days or when you sign out. We do not use advertising or tracking cookies.
- The apps save their own files on your device so they open quickly and work with a weak signal.
- We use Cloudflare Web Analytics to count page visits. It does not use cookies or build a profile of you.
- Your IP address is used briefly to limit repeated failed sign-in attempts. It is not stored with your records.
- Fonts are loaded from Fontshare, which receives your IP address when fonts download.
How long we keep it
We keep training, VOC and corrective action records while your organisation uses the service, and for as long as your organisation needs them as compliance evidence (heavy vehicle accreditation, for example, generally requires at least three years). When a user is removed, their account is closed but the records they created or appear in are kept as evidence. At the end of a service agreement or Founding Pilot we will, at the organisation's request, export its records and then delete or de-identify them, unless the law requires us to keep them.
Security
- Passwords are stored as one-way hashes, never as plain text.
- All traffic uses encrypted HTTPS connections.
- Access is role-based, completed VOCs are locked, and only a manager can reopen one.
- Repeated failed sign-in attempts are blocked for 15 minutes.
No system is completely secure. If we become aware of a data breach likely to cause serious harm, we will notify the affected organisation and people and, where required, the Office of the Australian Information Commissioner.
Access and correction
You can ask to see or correct the personal information we hold about you by emailing [email protected]. Because training records belong to your employer, we may pass your request to them or confirm it with them first. We aim to respond within 30 days.
Complaints
If you have a concern about how we handle your information, email [email protected] and we will respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We may update this policy as the service changes. The date at the top shows the latest version.
